Terms and Conditions

The following terms and conditions apply to the VenueSearch promotion hosted by The Africa Conference Directory (Pty) Ltd as amended from time to time. These terms and conditions form part and parcel of all registrations submitted to participate in the promotion. Participation by any and all individuals is governed by the following terms and conditions:

Definitions:  

Organiser/s 
The Africa Conference Directory (Pty) Ltd, trading as the Event Organisers Network and their appointed agents and assigns. 

The Promotion
The VenueSearch Promotion.

Booking Value

The final total cost of the Confirmed Event Enquiry as invoiced by the venue.

 Entrant

Anyone who registers to participate in The Promotion.

The Prize
The Prize is defined as follows or as amended by the Orgaiser/s:

• The winner will win a 6-night stay in Mauritius, 3 nights each in 2 different hotels on a Half Board basis for 2 people sharing. The prize includes airport transfers and a catamaran cruise with onboard F&B
• Mauritius Incentive Connection sponsors the prize.
• The prize is for 2 people sharing.
• The prize is non-transferable and cannot be exchanged for cash
• Travel dates are valid from May to September 2024 and subject to availability at the time of travel request
• A passport with a minimum validity of 6 months is required per passenger. No visas are required by South African passport holders to travel to Mauritius

Excludes:

• Flights* l Travel Insurance l Visas for non-SA passport holders

Event Booking Enquiry

An event booking enquiry is an enquiry for an Event Type sent via the VenueSearch internet event booking platform.

 VenueSearch

VenueSearch is an internet-based event enquiry and booking system located at URL www.venuesearch.co.za.

 Event Booking Enquiry Status.

The event booking enquiry status must be confirmed. 

Event Type

An event booking enquiry must be one or more of the following event types.

• Conference/Meeting/Convention
• Function (Year-end, awards etc)
• Team Building.
• Training/Workshop.

Event Management Services 
Those services are provided by the event organizers and sub-contractors, suppliers and service organizations appointed by the event organizers. 

 Participant 
An individual who registers to participate in The Promotion.

 Event Sponsors 
Companies, organisations or individuals who have contracted with the Event Organiser/s Network to sponsor goods or services for the event.

1. Terms and Conditions of The Promotion

1. Registration for and participation in The Promotion is solely at your own risk.
2. The Organiser/s acts on the basis that they attend to the arrangement, coordination and management of The Promotion. They perform all tasks on the condition that The Organiser/s are not and cannot be held responsible for any loss, damages or inconvenience howsoever arising, including while journeying to/from the event; neither can the Organiser/s be held responsible for any unforeseen partial or total cancellation of the event. 
3. The Promotion is limited to business-to-business event booking enquiries. No private individual functions, e.g. weddings, birthdays, baby showers etc. will qualify as an Event Type.
4. Only individuals may enter The Promotion as representatives of permitted organisations.
5. The Promotion is open to the following Event Organiser Network member categories namely, corporate, government department, educational establishments, and associations.
6. The Promotion is not open to trade event management companies such as Professional Conference Organisers, Tour operators, Travel Agents and similar.
7. To participate in The Promotion, an individual must be a member of the Event Organisers Network and must register via The Promotion registration page.
8. Only booking enquiries that are confirmed and actually take place will qualify to be entered into the draw.
9. The Booking Value must not be less than R50 000.000 (Fifty Thousand Rand excluding vat) to qualify as an entrant in the draw.
10. A participant will earn one ticket in the draw per confirmed status event booking enquiry.
11. A participant may make as many booking enquiries via VenueSearch as required as long as for each Booking Enquiry all the criteria and Terms and Conditions are met.
12. If a confirmed booking takes place after the closing date of the Promotion, the booking will qualify as an entry in the prize draw, as long as the event takes place within 6 months after the Promotion closing date.
13. If the prize is won by a participant and the qualifying booking is scheduled to take place after the Promotion closing date, and the booking is cancelled for reasons beyond the control of the participant, then the prize will remain effective but the prize will be offset against a future booking of similar value to the cancelled event OR an alternative arrangement at the discretion of the Organisers and Sponsors.
14. In respect of prize draws, all draws are performed using an internet-based random number generator to draw the winner. Once drawn, the Organiser/s will not enter into any correspondence, discussion or any other communication regarding the draw or winner.
15. The Organisers reserve the right to:
    1. Amend, substitute, add to and otherwise modify The Promotion, special offers, prizes and other offerings related to The Promotion as may be published from time to time.
    2. Cancel the promotion at the organisers discretion without the obligation to provide a reason.
    3. Not accept a registration or entry to The Promotion without the obligation to provide a reason.
    4. Accept or decline a confirmed booking from a registered participant at its discretion without the obligation to provide a reason for the decision.
    5. Substitute one prize for another and/or amend the prize details composition should this be deemed necessary.
16. The Organiser/s is not liable for the cancellation of journeys, deviations, delays or failure to provide seats, berths or facilities for The Promotion or for failure to provide accommodation for The Promotion, howsoever the same may arise.
17. The Organiser/s (both for itself and on behalf of its servants and agents) does not accept any liability for any act, omission, default or neglect of the the Organiser/s or their servants and agents for any injury, damage or loss to persons or goods whatsoever and howsoever the same may be caused and the Organiser/s does not warrant and is in no way responsible for the accuracy of any information given or statement made by the Organiser/s servants and agents or given or made by the Organiser/s or their servants and agents.
18. By registering to participate in The Promotion, the participant accepts that their email address and/or other relevant contact details may be made available to the registered sponsors for use in their follow-up marketing.
19. No application to participate in the Promotion will be accepted unless a fully completed registration document has been received by the promotion Organiser/s and a confirmation of participation has been sent to the registering applicant by the organiser/s 
20. Force Majeure
    1. The Event Organiser/s shall not be liable for any loss or damage by reason of non-performance caused by Acts of God, war, riots, civil commotion, strikes, lock-outs, transport delays, mechanical breakdown, restrictions by Government, non-availability or shortage of raw materials, and without in any way being limited by the aforegoing, generally by any other cause beyond the control of the Organisers.
